You
can use the Invite Launcher for a notice to send invites to targeted
contacts by filtering by a desired group, labels and/or fields. It
allows you to narrow down the selection of contacts you intend to invite
to the notice. An advantage of using the Invite Launcher is that it
performs an invite count before sending out the communication, which can
help in estimating the cost of the communication as well as ensuring
that the correct contacts have been selected based on the count.
Accessing the Invite Launcher
The launcher can also be accessed in three ways
Option 1
- From the Left hand menu, navigate to Folders
- Click on “All Folders” in the sub menu
- This will open up the Folder List
- Open the folder which contains the desired notice.
- Hover your mouse pointer over the desired notice, to reveal the hidden icons; one of which is the ‘invite’ icon
- Click on to access the launcher.
Option 2
- From the Left hand menu, navigate to Folders
- Click on “All Folders” in the sub menu
- This will open up the Folder List
- Open the folder which contains the desired notice
- Click on the invite tab.
Option 3
- Go to your homepage
- Using the quick access button, click on “Send”
- Click on “Send Now”
- Select the desired folder
- Find and select the communication you want to send out
- This opens the invite launcher to send invites for a notice
Sending out Invites to a Notice
Using the Simple Method
This
is the default method of sending invites. Here you can choose to drill
down to send out to specific groups, filter by labels and/or filter by
fields.
To generate invites for a notice using the Simple Method, do the following:
- Go to the Invite Launcher for the desired notice by following one of the options under Accessing the Invite Launcher above
- Step 1: choose contacts
- Under Group, choose the group you want to send the notice to, or select All Groups to send the notice to all contacts.
- Under Previous Sends, select the desired option to filter contacts depending on prior sends of the notice.
- If you would like to be specific in your selection, you can narrow down the list of contacts by Labels or Fields by clicking on Add Labels or Add Field.
- To filter by labels, click on Add Labels.
If a label you created isn't visible in the drop down menu while
selecting your label scroll down to the bottom of the drop down menu and
refresh the list.
- To filter by fields, click on Add Field, select the desired field and specify the value for the field
- You
can use a combination of both fields and labels or just one. You can
also add multiple labels or fields by using Add Field or Add Labels more
than once.
- Step 2: count contacts
- Click on Count Contact. It will take a few seconds to make a tally of the number of recipients as per your filter.
- Step 3: limit and randomize
- You
might want to randomly select a subset of the contacts you have found.
If so, enter the number of contacts in this section. This step is
optional.
- Step 4: send
- Click on 'Send Invites' to send your notice.
- If you have chosen to limit and randomize, you can choose to see the contacts who will be selected before sending the notice.
Using the Advanced Method
If you need more control over the contacts you are inviting, consider using the Advanced Method.
Here
you can use a combination of AND and OR, EQUALS and NOT EQUALS, INCLUDE
or EXCLUDE. You can use these logical operators to apply all filters as
well as conditional filtering.
To generate invites for a notice using the Advanced Method, do the following:
- Go to the Invite Launcher for the desired notice by following one of the options under Accessing the Invite Launcher above
- On the Invite Launcher, once you have used the Simple Method, you can click on 'Show Advanced'.
- In
the advanced interface, select contacts by filtering by Group, Label,
Previous Completes or Contact Fields. You can use AND and OR
conditionals and nested blocks to group the filter
in ways you can in simple method.
Be
careful how you use nested blocks. The way OR and AND and the nested
blocks work together is similar to the way plus and multiply and
parenthesis group when doing arithmetic. For example; (4 * 2) + 3 isn't
the same as 4 *(2 + 3). The first sum totals to 11 , while the second
totals to 20. Similarly, with nested block, you need to group
expressions carefully to ensure you select the correct contacts. Contact
